Summary

The following are the core responsibilities of the Medical Administrator in delivering health services. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels: Accurately clinically code data into the patient record on the clinical system Identifying relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed action Inputting and extracting data as required to support practice reports, audits and to capitalise upon both patient safety and QOF income Scanning patient related documentation and attaching scanned documents to patients healthcare records Highlight all timely actions, changes to patient care and management to the relevant clinician f. Type letters, reports and associated documentation as required and within the specified timescales as appropriate for the referral g. Liaise with external agencies such as hospitals and community services, ensuring referrals are processed efficiently h. Manage all enquiries in an effective manner i. Maintain an accurate referrals database j. Process referrals using the electronic referral system (ERS) k. Manage all administrative queries as necessary l. Conduct clinical system searches as requested File and store records as required Photocopy documentation as required Action all incoming correspondence, emails and mail in a timely manner Input data into patients healthcare records as necessary Answer incoming telephone calls, transferring calls or dealing with the callers request appropriately Assist with total triage administration Conduct system searches as requested Maintain a clean, tidy, effective working area at all times Support all clinical staff with general administrative tasks as requested Undertake a broad spectrum of administrative duties commensurate with the role Be an integral part of the general practice team Act as a chaperone as required Be aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on safeguarding adults and safeguarding children Support in the delivery of enhanced services and other service requirements Undertake all mandatory training and induction programmes Contribute to and embrace the spectrum of clinical governance Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreed
