Summary
Facilities Coordinator/Reception Cover (Dual Role)
Site based in Glasgow City Centre, working hours 7am to 4pm.
Must have a driving licence, will be required to drive Mitie Van on a regular basis (strictly for business purposes only, no private use)
Building Operations & Maintenance Responsibilities
-Open Monteith House at 7:00am each working day, ensuring the building is ready for occupation.
-Carry out daily building inspections and report defects, faults, or maintenance requirements.
-Monitor building services and systems, including BMS and HVAC systems, identifying and escalating issues as required.
-Support the delivery of Planned Preventative Maintenance programmes, ensuring scheduled activities are completed and accurately recorded.
-Maintain accurate records of maintenance activities, inspections, PPMs, contractor visits, and compliance checks.
-Liaise with the Mitie Helpdesk and raise maintenance requests when required.
Contractor & Supplier Management
-Act as the primary site contact for contractors and service providers.
-Coordinate contractor attendance and ensure works are completed safely and efficiently.
-Ensure contractors comply with site rules, health and safety requirements, and permit procedures where applicable.
-Monitor contractor performance and escalate concerns as necessary.
Health, Safety & Compliance
-Support compliance with health and safety policies, statutory regulations, and company procedures.
-Conduct and coordinate fire drills, ensuring records are maintained and actions completed.
-Assist with emergency procedures and incident response activities.
-Maintain awareness of building compliance requirements and support audits and inspections.
Workplace & Facilities Support
-Respond to facilities requests.
-Ensure office calendars are populated with relevant events, maintenance activities, contractor visits, and PPM schedules for Monteith House and other offices.
-Coordinate/assist with room setups, furniture, desk IT kit and event layouts. (travel involved)
-Support general workplace services to maintain a professional and functional office environment.
-Event Set up/take down for CIAG participation at festivals (overnight stays may be required)
Reception
-Provide daily and holiday reception cover as required.
-Welcome visitors, contractors, and staff to the building
-Manage visitor access procedures and support building security requirements.
-Produce and issue staff ID passes.
-Assist in managing the Facilities mailbox
IT & User Support
-Provide IT Desk Kit support for staff
-Set up desks, workstations, monitors, docking stations, and other IT equipment.
Knowledge, Skills & Experience
-Experience in facilities management, building operations.
-Knowledge of building maintenance processes and contractor management
-Understanding of health and safety requirements within an office environment.
-Experience coordinating Planned Preventative Maintenance activities.
-Basic IT support knowledge, including workstation and equipment setup.
-Strong organisational and record-keeping skills.
-Excellent communication and customer service skills.
-Ability to work independently and manage priorities.
-Experience conducting fire drills and supporting building compliance activities
-Facilities Management qualification - desirable but not essential
